This article explains how to set up a service agreement so that service delivery can be tracked while waiting for NDIA approval. These instructions prevent the service delivery records from being extracted until the service agreement has been approved by the NDIA.
When a participant's existing service agreement expires, there can sometimes be a delay before their next agreement is approved. In the meantime, providers may choose to continue to deliver services. Once the NDIA approves a new agreement, the provider will then be able to claim for the services that were delivered.
This feature requires that your environment has been set up to allow SD records to be created before client approval. If the Allow Service Delivery checkbox does not appear, you may need a system administrator to apply this setting.
The recommended approach is to:
We advise against extending expired agreements, as this creates an unnecessary level of complexity. Starting with a new agreement or rolling over the previous agreement will make it easier to claim from the NDIS once the new service agreement is approved.
- Add any required categories and service line items.
- Click on the Generate Quote button but do not add the client's signature.
- Click on the Amend button.
- Scroll down to the Outcome section of the Edit form.
- Make sure that the Client Approved Date field is blank. This will prevent service delivery records from being extracted.
- Put a tick in the Allow Service Delivery checkbox. This will allow you to generate service delivery records while you wait for the NDIA's approval.
- Click on the Save button.
Your service agreement should now allow you to claim for services in the usual ways, either through service delivery entry or sessions.
- Once you get NDIA approval, navigate back to your service agreement.
- Click on the Amend button.
- Enter a Client Approved Date and click on the Save button. This will allow you to generate an NDIS extract of all of the services that have been delivered against this agreement. This will include services delivered prior to whatever date you enter as the client approved date.
Service delivery and extraction will then continue as per a typical service agreement.
