This article explains how to create a worker record for an allied health worker.
To set up a new worker in your system, you need to create a contact record by entering some basic details. Once you've created their record, you'll be able to do other tasks like adding their accreditations, worker tags, and availability.
To create a new worker record:
- Click on the drop-down arrow next to the Contacts tab.
- Click on + New Contact.
- In the New Contact popup, select the Worker record type.
- Click on the Next button.
- Complete the New Contact: Worker form by entering information into the fields. Fields with an asterisk are mandatory. Some of the key fields are explained below.
Field | Input |
Account Name | Search for and select the account this worker should be linked to. Usually, this is the account for your business, which likely has your business name. If you don't select an account, the worker will be added to the default All Employees account. |
Status* | Use the drop-down list to set your worker's status to Active. Inactive workers cannot deliver services. |
Last Status Change | The date and time auto-fill when the Status is changed. |
User | If the worker's system user account has already been set up, use this field to search for and select it. If not, leave the field blank. The user account can be created and linked to their worker record later. |
Start Date* | Use the date picker to select their start date. Workers can only be scheduled for appointments on or after this start date. |
End Date | If the worker has a known end date for their employment, enter it here. Workers can't be scheduled for appointments beyond this date. |
Worker Type | Specify the type of worker, for example, Contractor. Select the applicable type from the Available box, then click the right arrow to move it to the Chosen box. |
Role | Select the worker's role, for example, Physiotherapist. |
Average Hourly Rate | Type in the dollar amount of the worker's average hourly rate. This can be used for calculations in some reports. |
Weekly Billable % | Type in a number only, for example, 75. You don't need to add the percent symbol. This is the target percentage of the worker's available hours each week that should be billable. |
Address Details | You can enter the worker's home address here. The scheduling function can use this to calculate the worker's proximity to client appointment locations. |
Contact Details | You can enter the worker's contact details here. It's recommended to list their work phone numbers and email address. |
- Once you’ve finished entering information, click on the Save button.
This creates the worker's record. The information you’ve just entered appears in full on the Details tab and some of the worker's key details are also shown on the Dashboard tab.
To edit the worker's details, click on the Edit button at the top of the screen.
Now you've created the worker's record, you can add additional information, including the essentials that must be recorded in order for them to work with clients.
