New Appointment Scheduler - beta version
We’ve unleashed a new beta version of the Appointment Scheduler.
This new version gives customer service officers a more streamlined way to create appointments. It also introduces a new visual calendar interface, which includes features like:
- colour coding on appointments
- the ability to hover over an appointment to show more information, and
- easy actions to cancel and view appointments.
This reduces the administrative load by helping customer service officers more easily manage appointments.
As this is a beta feature, the original Appointment Scheduler will continue to be available. Please submit a support request through our Help Centre to organise a one hour call so we can:
- help you set up the data you need to start using the new Appointment Scheduler, and
- provide you with training on how to use this feature.

Worker availability matching
We've improved the Matching Availability tool to help customer service officers match new and existing clients with therapists. Users can now:
- create availability records for specific sites. For example, you could show that Joe, a speech therapist, was available from 8:00 am to 5:00 pm on Mondays at the Adelaide CBD site.
- filter for therapists available at a specific site, and
- access the Matching Availability tool while handling enquiries or working with waitlists.

Telehealth appointments
Customer service officers and therapists can now include worker telehealth links on appointments. This helps therapists quickly navigate to virtual sessions.

Automatic asset booking deletion for cancelled or deleted appointments
Asset bookings are now automatically deleted when an appointment is cancelled or deleted. This ensures that the asset is available to book for other appointments. Customer service officers will no longer need to spend time locating the asset to manually delete the asset booking.
BPAY details on invoices
Financial officers can now include BPAY as a payment option on invoices. This gives clients another easy way to settle their payments, which helps speed up the revenue cycle.
Non-NDIS-managed service agreement invoicing
We can now set up your environment to allow invoicing for draft and unsigned, non-NDIS-managed service agreements. This feature enables financial officers to invoice non-NDIS-managed services that have been delivered from service agreements that do not have a status of Current. This includes when agreements have a status of Draft, Quote Submitted, Expired and Cancelled, which would normally restrict invoicing.
Providers can opt-in to access this feature by submitting a support request through our Help Centre.

Invoice and credit locking
Financial officers can now lock invoices and credits based on status and accounting period.
We’ve introduced these compliance features for providers using accounting periods in Lumary’s Accounts Receivable feature.
Invoices and credits can now no longer be:
- posted, if they are associated with a closed accounting period, or
- modified after they’re posted, unless the user holds special permissions.
Letter tool enhancements
Customer service officers, therapists and financial officers can now pack even more information into letters. We’ve made more objects and fields available for merging. You can now:
- link information about client contacts and invoices, and
- select from more fields on existing objects.
Goal attainment scaling (GAS) score tracking
Therapists can now capture goal attainment scaling (GAS) scores against client goals. When a therapist creates a case note for an appointment where a goal was worked on, they'll be able to record a session outcome for the GAS score. This can help therapists quantitatively measure and monitor a client's progress in achieving their treatment goals. It supports structured approaches to assessing the effectiveness of interventions and personalised therapies.
Tag migration from enquiry to client
Tags captured on enquiry records will now be automatically added to the client record when the enquiry is converted to a client. Customer service officers will no longer need to manually re-apply these tags.
Bug fixes and other changes
The following bug fixes and changes are also included in this release:
- Bulk invoicing - a service invoiced as part of a bulk invoice run will no longer be able to be included as part of a separate invoice generation. This is to help prevent customer service officers from incorrectly double billing a service delivered.
- Waitlist client ages - we’ve removed an issue that was causing client’s ages to appear as 0 on waitlist records when the waitlist was linked to an enquiry.
- Appointment cancellation - appointments that overlap with unavailability can now be cancelled.
- Process progress tracking - process templates have been updated so that the overall percentage of process completion is updated as subtasks are completed. This gives customer service officers and therapists a more accurate view of process progress.
