Lumary AH - This article explains how to set up session types. Settings on session types power the New Appointment interface in the Appointment Scheduler Beta.
Session types capture settings for different types of billable and non-billable appointments. They can be used to set up defaults to reduce the number of fields users need to fill out to create appointments.
Required features and permissions
Some features only available with: Appointment Scheduler Beta
Permission: System administrator
This feature is managed in Lumary AH Settings. To go to Lumary AH Settings:
- Click on the App Launcher nine dot grid icon.
- Click in the Search apps and items... field.
- Type Lumary.
- Click on Lumary AH Settings.
To create a new session type:
- Scroll down to Appointments.
- Click on Appointment Types.
- Click on the New button at the top of the Session Types list view.
This launches a New Appointment Type form. The following table explains each of the fields on this form. Some features are only available with the Appointment Scheduler Beta.

Category |
Indicates if this type of appointment is likely to be billable or non-billable. Determines which appointment types are available in the New Appointment form. |
Session Type Name |
A name to describe the type of appointment. |
Basic Settings | |
Status |
Active or inactive. Inactive session types are hidden from selection. |
Appointment Duration |
Time in minutes used to calculate and apply a default end date and time when creating an appointment. Only compatible with the Appointment Scheduler Beta version. |
Colour |
Colours can be used to identify different types of billable appointments. Non-billable appointments use a standard colour. Only compatible with the Appointment Scheduler Beta version. |

Discipline |
Sets which disciplines can be delivered for this appointment type. This field allows multiple selections. To add a discipline:
Use the bottom arrow to remove selections from the Chosen list. |
Location Types |
Sets the types of locations where the appointment can be delivered. This field allows multiple selections. To add a location type:
Use the bottom arrow to remove selections from the Chosen list. |
Custom Subject |
Put a tick in the checkbox to allow users to customise the subject of the appointment. This is useful for group programs that have unique names. If unticked, the appointment’s subject will use the session type name. |
Recurrence |
Put a tick in the checkbox to automatically set appointments to Recurring. This reduces the number of clicks for the user. It’s useful for appointment types that are normally part of a series. |
Travel Defaults (Only compatible with the Appointment Scheduler Beta version) | |
Travel Chargeable |
Put a tick in the checkbox to allow travel to be included on the appointment. |
Travel Area |
Appears when there is a tick in the Travel Chargeable checkbox. Sets which travel areas can be selected for this type of appointment. This field allows multiple selections. To add a travel area:
Use the bottom arrow to remove selections from the Chosen list. |

Required Workers |
Sets the default number of workers required for an appointment to be rostered. |
Actual Start Criteria |
Appears when the number of required workers is more than 1. Determines how the appointment start time should be calculated between worker arrival times. |
Actual End Criteria |
Appears when the number of required workers is more than 1. Determines how the appointment end time should be calculated between worker departure times. |
Actual start and end criteria options explained
Criteria | How the date and time are calculated |
One worker | Starts and ends when the first worker signs on and off. |
50% of workers | Starts and ends when at least half of the workers have signed on or off. |
All workers | Starts and ends only when all workers have signed on or off. |
Average start (or end) time | Calculates the start and end times based on an average of the time that each worker signed on or off. |
- Once you’re happy with your selections, click on the Save button.
To edit a session type:
- Go to the list view in Lumary AH settings.
- Click on the drop-down arrow at the end of the row.
- Select Edit to launch the Edit Session Type form.
