Lumary AH - This article explains how to locate a matching therapist who is available to see a waitlisted client or triaged enquiry.
Customer service officers, team leaders and other users that review waitlists and triage enquiries need to efficiently review therapist’s availability and their capacity to see new clients. Users can use the Matching Availability tool to use information captured on an enquiry or a waitlist to find available therapists.
Before you begin…
This feature requires that the worker’s availability has been set up. If matching is required for specific clinics, it’s also best if site-based availability has been recorded.
To find an available therapist:
- Go to a saved Enquiry or Waitlist record.
- Click on the Matching Availability button at the top of the record. You may need to click on the More drop-down arrow to find this option.
- This will launch a popup Find Matching Availability calendar where the availability of matched workers is shown using colour-coded columns.
- The Availability Filter button shows and hides the Availability filters panel. Values on this panel will default to the corresponding values on the originating record. You can update the filters to refine your search. The following table explains the defaults and how to use each filter.
Field | Use |

Start Date | Defaults to today. Change this to another date if the customer is looking for a later start date for services. |
Days | Defaults to the preferred days of service selected on the waitlist or enquiry. This is used to only show workers with availability on the selected days. |
Client | Defaults to the client on the waitlist or the enquiry. This will display the client's availability in the calendar if it has been set on their contact record. |
Employee Tags | Defaults to the preferences and skill tags captured on the waitlist or enquiry. Any skill tags added will be matched to the parent skill tag assigned to the worker. |
Employee Role | Filters the available workers to a specific role or discipline. |
Worker Region | Defaults to the region captured on the waitlist or enquiry and will match to a worker that has this region captured on their profile under Contact Regions. |
Site | Defaults to the preferred clinic captured on the waitlist or enquiry and only presents matched workers that have this site selected on their availability. |
- Once you make changes to the filter settings, click on the Show Matching Availabilities button to update the results.
Found a match?
Once you find a match:
- on a waitlist, you can update the Preferred Worker field to assign the waitlist record to this therapist, or
- use the Appointment Scheduler to book appointments for the therapist.
