Within processes, you can define tasks and actions that need to be completed. You can also create smaller subtasks and actions and group them under task groups.

Add a new task group
A task group / action is a task to be completed within a process.
To create a task group on a process template:
- Go to the process template record.
- Click on the New Task Group or Subtask button.
- Select Task Group / Action.
- Click on the Next button.
- This will open the New Task Group or Subtask form. The following table explains each of the fields on this form. Mandatory fields are marked with an asterisk.
Field | Purpose |
* Status | Use this field to indicate whether the task is active or inactive. Only task groups that are set to Active will appear on the process. |
Sort Order | The sort order uses a number to determine where in the list the task will appear under the process. |
* Task Group Name | This is the name of the task, which will appear on the process. |
Task Group Description | This is a more detailed description of the task. This will appear on the process under the task. |
- Click on the Save button.
Add a new subtask / action item to a task group
Subtask / action items are smaller tasks needed to complete a task group / action.
To create a subtask / action item on a process template:
- Go to the process template record.
- Click on the New Task Group or Subtask button.
- Select Subtask / Action Item.
- Click on the Next button.
- This will open the New Task Group or Subtask form. The following table explains each of the fields on this form. Mandatory fields are marked with an asterisk.
Field | Purpose |

Parent Task Group | Select the tasks under which this subtask should appear. |
* Subtask Description | This is a more detailed description of the subtask. This description will appear on the process. |
Action Type | This is where an action can be selected. Select the relevant action that is completed as a part of the subtask. The action type selected will appear as a button under the subtask. |
- Click on the Save button.
