This article explains how to create a financial extract for integration with financial systems, including MYOB and Xero.
A financial extract is used to transfer a summary of services to a financial management system, rather than for claiming from a funding body like the NDIA or DVA.
Depending on which financial management system you're using, you can use Lumary to:
- create a financial extract and
- load it into MYOB AccountRight, or
- send it to MYOB Essentials or Xero.
Create a financial extract
To create a financial extract:
- Go to the Lumary Extracts tab.
- From the Extract Type drop-down list, select Financial Extract.
- This will reveal additional fields that will enable you to filter your extract to a specific site, client, account and/or service agreement. Leaving these fields blank will extract all services delivered within your specified date range.
- Set the Start Date and End Date to indicate the date range you want to invoice.
- Click on the Create Extract button. The process may take a few seconds; an email will be sent to you once the extract is complete.
- Click on the Refresh List button.
If refreshing your list doesn't display your extract, you may need to refresh your browser. Remember to set the Extract Type to Financial Extract again and set the date range to include the range you specified for your extract.
- Scroll down to the Previous Extracts section. Your extract should now be listed at the top of this section.
- Click on the Extract ID text link to open your extract.
- To see details of the services that have been extracted, click on the Related tab.
- For more details, click on the Extract Item Name text link to open the extract (EXT) record.
- Once you've opened an extract item, you can navigate back to the extract record by clicking on the extract text link.
Load a financial extract into MYOB AccountRight
Once you've created your financial extract, you can generate a .csv file that you can load into MYOB AccountRight. To do this:
- If you already have your extract record open from the previous steps, skip to step 5. Otherwise, go to the Lumary Extracts tab.
- From the Extract Type drop-down list, select Financial Extract.
- Put in the relevant details to navigate to your extract record.
- Click on the Extract ID text link of your extract. This will open the extract record.
- Click on the Generate File button at the top of the extract record. You may need to click on the drop-down arrow to find this option.
- You should see a notification that your extract is being generated and that you'll receive an email when it's complete. Click on the Close button.
- Refresh your browser and then click on the Related tab.
- Scroll down to the Notes & Attachments section. Your file will appear with a .csv filename extension. Click on the text link to download this file.
- Once you download the generated file, it'll be ready for uploading into MYOB AccountRight.
Send a financial extract to MYOB Essentials or Xero
If you've integrated MYOB Essentials or Xero with Lumary, you can send your financial extract directly to your finance system. To do this:
- If you already have your extract record open from the previous steps, skip to step 5. Otherwise, go to the Lumary Extracts tab.
- From the Extract Type drop-down list, select Financial Extract.
- Put in the relevant details to navigate to your extract record.
- Click on the Extract ID text link of your extract. This will open the extract record.
- Click on the Send to MYOB Essentials or Send to Xero button at the top of the extract record. You may need to click on the drop-down arrow to find this option.
- The extracted data will be automatically synchronised with your finance system and should now appear in your MYOB Essentials or Xero records.
