The Lumary 18 release includes improvements to NDIS functionality, service agreements, the Sessions Calendar and DEX reporting and expanded support for Home Care Packages (HCP) funding.

This release includes updates to provide or improve support for:
- NDIS rates substitution and supports in employment apportioning
- the Sessions Calendar, and
- DEX reporting.
We’ve also added improvements and fixes for:
This release includes changes to permission sets and a profile. If you're using custom permission sets or profiles, we recommend you review these changes and apply them where necessary.
Following the release of Lumary 17, there were minor releases to fix minor or urgent issues. The changes are summarised under minor releases.
This release works best with Skedulo AU Healthcare v1.159 and Skedulo v102.54 or later. If you're using Skedulo, we recommend that these versions are installed to support the use of new features.
NDIS funding
Overview
To assist providers claiming NDIS funding, we’ve made improvements to:
NDIS rates substitution
The Substitute New NDIS Rates setting enables providers to automatically update service agreement items to new funding levels when there is a change in the NDIS pricing arrangements. However, some providers may prefer to continue to charge for the service at the originally agreed rate.
We’ve added the Prevent NDIS Rates Substitution checkbox to the:
- New Support Category form, and
- New Service Agreement Item form.
These checkboxes allow users to set up categories or service agreement items to continue to use the original rate when there is an NDIS pricing change.
NDIS supports in employment ratios
To improve the flexibility of claiming for supports in employment services, we’ve added more ratios to the Delivery Ratio drop-down list on service agreement items and the Scheduled Delivery Ratio drop-down list on planned services. Users can now select from 1:1 up to 1:25 to accommodate larger groups.
Sessions Calendar
Overview
We’ve continued to expand the capability of the Sessions Calendar with improvements that allow rosterers to:
- define periods of time when a client is available or unavailable for appointments
- see warnings when proposed appointment times overlap with times that a worker or client will be unavailable, and
- view worker appointments by week.
Client availability
Periods can now be set to indicate when clients are available or unavailable for appointments. The system will display a warning if a rosterer tries to schedule a:
- session that overlaps with a period of unavailability, or
- recurring session where one or more of the recurrences overlaps with a period of unavailability.
Appointment conflict warnings for clients and workers
We’ve extended the notifications that appear when there are overlapping appointments for clients or workers. When a rosterer is scheduling an appointment, the system will now display a warning if the session or any recurrences of the session overlap with:
- a worker’s leave or a period where they’re unavailable, or
- a period where the client is unavailable.

System administrators can use a Lumary setting to control whether the system prevents or allows appointments at times that a worker is showing as unavailable.
Weekly view
We’ve added a new weekly view of worker appointments to the Sessions Calendar. Rosterers can now view worker appointments by day or by week by clicking on either the:
- Worker (Day) button, or
- Worker (Week) button.
DEX reporting
Overview
We’ve built on work established in previous releases to improve the system’s DEX reporting capability. Key areas of improvement include the:
- mapping of Lumary CM fields and extracts to DEX requirements, and
- capturing and reporting of group-based services.
Improved mapping
We’ve taken a close look at DEX reporting requirements and improved the capturing and reporting of key data. Where possible, we’ve looked for ways to automate the population of DEX fields. We’ve also aimed to reduce the need to manually update reports to meet complex DEX reporting requirements.
For example, users will be able to use the Service Delivery Entry form, Sessions or Skedulo to capture:
- the service setting
- fees charged, also known as client contributions
- assistance items, also known as extra items, and
- time in minutes.
Group-based reporting
We’ve made improvements to the way the system captures and reports on group-based services. Changes to the DEX extract mean that, once services are set up, relevant reports will automatically include them.
The Session Grouping field has been removed from the DEX extract type. Users will no longer need to select grouping options when creating a DEX extract.
The case structure in the extract now supports the linking of a case to one or more clients with those clients attending one or more sessions. Users can also set the case structure to report a separate case for each individual for programs that require this reporting structure.

Users will be able to use Sessions or Skedulo to capture services delivered in group settings, such as:
- an information session or
- a social support group.
Additional improvements and fixes
Overview
This release also includes improvements to:
HCP funding
As part of the Improved Payment Arrangements (IPA), there’s been a change to the way providers calculate unspent funds when a client exits. The discharge process has been updated so that unspent funds are separated into the:
- provider-held Commonwealth portion, where applicable
- provider-held client portion, and
- subsidy held by Services Australia in the client’s Home Care Account.
The monthly statement has also been updated to reflect these and other IPA reporting requirements. Find out how to generate monthly statements using extracts.
We’ve also changed the rate type for HCP services from Aged Care to HCP.
SD transfer
When a service agreement has multiple service agreement line items with the same service but set to different rates, users can now transfer service delivered (SD) records. The destination service agreement still requires a version of the service line item that includes the matching rate.
We’ve also resolved an issue that allowed users to transfer SD records to agreements where the funding management did not match.
Permission set changes
In the Lumary - Aged Care permission set, the Adjustment record type has been assigned to the Journal Entry object. This will allow users with this permission set to create adjustment records for HCP funding.

Minor releases
Overview
Following the release of Lumary 17, there were several minor releases to address minor or urgent issues. These were applied to affected environments as they became available. The releases are listed in reverse date order, from most recent to earliest:
Minor release 3
Date available: 7 December 2021
For minor release 3, we've applied fixes so that:
- users with Lumary - Standard or Lumary - Basic permission sets will now be able to open the Edit Service Delivered form using the pencil icon on service delivered (SD) records on the Service Delivery Entry screen
- changes made to a client's address will now also update the address information on existing future session records and newly created sessions, and
- PMHC MDS K10 total score calculations are now aligned to the planned change to K10+ scoring calculation.
Minor release 2
Date available: 15 November 2021
For minor release 2, we've applied fixes so that:
- all available programs will now display in the Program drop-down list when creating a new service line item
- users can now generate Provider Organisation and Practitioner files when extracting PMHC MDS reporting data. This requires a system administrator to assign the PMHC MDS Provider Organisation Layout and PMHC MDS Practitioner page layouts to relevant profiles, and
- users can now populate the following service delivered (SD) record fields for inclusion on PMHC MDS Service Contact extract files - Final Service Within Episode of Care, Client Participation Indicator, Interpreter Present and Total Client Contribution. This requires a system administrator to add additional PMHC MDS extract fields to several page layouts.
Minor release 1
Date available: 20 October 2021
For minor release 1, we've applied fixes so that:
- users creating a new session are now restricted from creating planned services against expired block funded clients
- users can still view a service agreement if it's related to a service with more than 1000 site service/program records
- the service picklist will now display correctly when adding a planned service from an unrestricted category to a session where the category has over 50,000 site service/program records
- users can no longer transfer a service delivery to a new service agreement with a different funding management type, and
- funding schedules will now continue to create service delivered (SD) records on the correct dates after the Schedule Start Date field has been edited.
