The Lumary 19 release includes improvements to DEX reporting functionality and efficiency, support for Home Care Packages (HCP) funding, compliance with Aged Care Quality Standards, and high-priority minor improvements.

Following the release of Lumary 18, there were minor releases to fix minor or urgent issues. The changes are summarised under minor releases.
This release will work best with Skedulo’s upcoming upgrade of the Australian Healthcare Package (AU HCP) to v1.165. The upgrade will be available in sandboxes for user acceptance testing (UAT) immediately after the Lumary 19 production release. Refer to Skedulo communications for deployment updates.

DEX reporting
Overview
We’ve continued to work on the system’s DEX reporting capability. This release incorporates:
- work to support high volume extracts, which was delivered as part of the final minor release in this release cycle
- the ability to create separate cases for group activities, and
- other minor improvements.
We’ve also added new articles to the Help Centre to support DEX reporting. We've added articles that:
- show how DEX XML files map to Lumary CM fields and objects. This mapping will help users troubleshoot issues with DEX extracts and reporting.
- show how to set up a client for DEX reporting, and
- introduce case structures and case ids.
High volume extracts
Support for users reporting through DEX who process extracts with large amounts of data was a key component of minor release 6, which was made available for Lumary 18 in April. This improvement aimed to reduce errors like:
- invalid query locator
- too many query rows, and
- too many dml rows.
These improvements mean that DEX extracts can now:
- include up to 3,500 service delivered (SD) records, and
- be run for service agreements with more than 25,000 related service delivered (SD) records.
We’re continuing to work with customers to gauge the effectiveness of these improvements. We’ll use customer feedback to help guide future development around solutions for processing large volumes of data for DEX reporting.
Separate cases for group activities
We’ve continued to improve the flexibility of generating cases for group sessions. Providers can now generate a separate case for each group activity completed in the reporting period. This option has been added to the DEX Case Structure drop-down list on the service record.

Users can record the case id using the DEX Group Activity Case ID field when adding a service delivered from the Service Delivery Entry screen.
Other minor DEX improvements
We’ve made minor improvements to fix the following issues:
- DEX Service Setting can now be set up to display on the Edit Session form
- postcodes are now validated as part of the DEX extract process, and
- SCORE assessments must have at least one mandatory field populated to successfully extract.
Home Care Packages (HCP) funding
Overview
We’ve made several improvements to support providers claiming Home Care Packages (HCP) funding. This includes support for:
- generating monthly statements
- creating bulk import files for the Aged Care Provider Portal (ACPP)
- goal achievement planning
- budgeting and sites
- purchase orders, and
- an improved user experience.
We’ve also made several other minor improvements.
We’ve altered the functionality of the Generate Files button. The original output from this button has been transferred to the new Generate Monthly Statement button. Generate Files will now create files to support bulk importing into the Aged Care Provider Portal (ACPP).
Generating monthly statements
We’ve made a slight change to the process for generating monthly statements. Once users create an HCP Monthly Statement for a site, they can now click on the Generate Monthly Statement button on the extract. This will create monthly statements for their clients, which will appear in the extract file. Users can navigate to the statements by clicking on the Related tab and checking in the Files section.

Bulk import file for the Aged Care Provider Portal (ACPP)
To support the Improved Payment Arrangements (IPA), Services Australia has added the ability for providers to upload files to the Aged Care Provider Portal (ACPP). This means that providers can now use bulk import files to:
- submit invoice amount reports for multiple clients, and
- report unspent provider held Commonwealth amounts.
To support this change, we’ve added a feature that will enable providers to generate the relevant files, ready for uploading. Once an HCP Monthly Statement extract has been created for a site, providers can click on the Generate File button to generate two CSV files:
- a bulk invoice for clients that had journal entries at that site, labelled HCP_Invoice_Amount_[Start Date MM-YYYY], and
- a report of the unspent provider held Commonwealth amounts for those clients, labelled HCP_Cth_Amount_[Start Date MM-YYYY].
These files will appear in the extract file. Users can navigate to them by clicking on the Related tab and checking in the Files section.
This improvement will reduce the amount of data entry time required to submit reports to the ACPP.
To support this feature, we've also updated the monthly extract to include the NAPS Service ID and Client ID. This is to support the inclusion of these fields on the bulk files for uploading to the ACPP.

Goal achievement plans
This release includes several improvements to support goal achievement planning.
We’ve added support for providers who have care recipients at the intake stage. Users can now create planned services for their goals. However, service delivery and scheduling is only available once they are converted from intake to client.
We’ve also added an option for users to archive goals. This will help providers retain data to meet auditing compliance requirements for goals a client no longer requires. When editing a goal, users can use the new Goal Archived Information section to:
- indicate that a goal is archived
- select a reason for archiving the goal, and
- include an alternative or expanded explanation for archiving the goal.
When adding planned services to goals, users can now include a care worker’s name. This free text field enables users who are planning services to identify the care worker who will be providing the service. The field appears on the New Planned Service form, in the Additional Information section.
Budgeting and sites
We’ve made improvements to support budget planning and to ensure budgets are properly assigned to sites.
To help users to plan a client’s budget, we've made changes to capturing pension numbers and forecasting.
When adding a pension number to the client’s personal identifiers, users can now indicate whether the client is receiving a full or part pension.
Budget forecasts now show the balance of the client’s unspent funds based on journal entries.
To make sure that budgets and services are assigned to the correct site:
- transfer-in journal entries are now automatically assigned to the client’s primary site, and
- users can no longer change a site on a journal entry if the site is linked to a service delivered (SD) record.
When adding subsidies, fees or supplements to a budget, users will only be able to select sites that are operational and offer the relevant service. The system will check the site’s operating dates and only list services available within those dates. In most cases, this will mean ensuring that the required date is later than the site’s operating start date.
Purchase orders
HCP providers can now capture purchase order details on a client’s record. The purchase orders list will appear under the Associations tab.
For Lumary 19, purchase orders will require the Lumary - Aged Care permission set.
The Purchase Order form can be used to capture a range of details, including:
- purchase order name
- order date
- status, and
- total.
User experience improvements
We’ve made several improvements to the interface to improve the user experience.
One of the main improvements is the ability to edit service agreement start dates. When a client is in the onboarding process, the start date for their services may change as they progress through the different onboarding stages. To help users make this change without navigating to another part of the system, we’ve added a component to the Goals, Budget, Plan and Review stages. Under Update Service Agreement Start Date, users can set the new date that the client will begin to receive services.
We’ve also applied changes so that:
- the package level displayed on the client record is automatically updated when the change is made on their service agreement and the funding source is set to current. This means that users no longer need to make this change manually.
- when a planned service is deleted, it automatically deletes all associated recurrences, and
- the Date, Account and Site fields on journal entry screens are mandatory and must be completed before saving a new journal entry.
We’ve also added cancel buttons on the Clone Service Agreement and Change Package Level forms. This enables the user to clearly indicate when they’ve decided not to proceed.
Other minor HCP improvements
We’ve made minor improvements to fix the following issues:
- an Apex CPU limit exceeded error will no longer appear when adding a planned service with an end date that’s a long way into the future
- overclaim messages will no longer display for HCP service agreements, and
- expired funding source items will no longer be editable.
Aged Care Quality Standards compliance
Overview
We’ve made several improvements to help providers comply with the Aged Care Quality Standards. This includes support for:
- the Aged Care Diversity Framework
- capturing data during enquiries and the intake stage of onboarding, and
- home visits.
We’ve also added the ability to capture falls risks. Users can now select the Falls sub domain under the Mobility and Transfers domain. Find out how to add risks to a client’s record.
Diversity Framework
We’ve added fields and functionality to help providers meet compliance requirements of the Aged Care Diversity Framework. For client records, we’ve added a:
- Diversity Groups picklist to the Client Demographics section, and
- Sensory Assistance picklist to the Medical Details section.
We’ve also added these fields to the Personal Details section of the intake record.

Capturing data through the enquiry and intake stages
We’ve improved data capture at the enquiry and intake stages of client onboarding by mapping and adding additional fields, including:
- DOB Estimated
- HCP Level
- Aged Care Number
- Care Recipient ID
- Diversity Groups, and
- Sensory Assistance.
We’ve also improved the way this and other information maps through the process from enquiry to intake and onto the client record. This improves the accuracy of the data transferred when a user selects:
- Convert to Intake, or
- Convert to Client.

Home visits
We’ve added the ability to capture important information to support workers making home visits to aged care clients.
Providers can now capture consent for support workers to access a lockbox to gain access to a client’s home. Find out how to add consents to a client’s record.
To help managers plan for emergencies or non-responses when support workers visit a client’s home, we’ve added the following personal support plans:
- Non-Response Plan, and
- Emergency Plan.

Minor releases
Overview
Following the release of Lumary 18, there were several minor releases to address minor or urgent issues. These were applied to affected environments as they became available. The releases are listed in reverse date order, from most recent to earliest:
Minor release 6
Date available: 8 April 2022
Fixes and improvements in this minor release mean that:
- making a change to a planned service in a session that has recurrences will now update all applicable sessions
- worker appointments with an inactive worker can now be edited or deleted in a session record or deleted in easyemployer, and
- service agreements with a high number of service agreement items can now be rolled over.
It also fixes a Home Care Packages (HCP) funding issue. Budget forecasts will no longer display an 'Apex CPU time limit' error message when adding long end dates for daily fixed costs and planned services.
For customers reporting through DEX:
- we've improved the processing of extracts with large amounts of data. We've reduced errors like, 'invalid query locator', 'too many query rows' and 'too many dml rows'. This will reduce the need for manual workarounds to process large extracts, and
- DEX extracts can now include up to 3,500 service delivered (SD) records and be run for service agreements with more than 25,000 related service delivered (SD) records.
Minor release 3, 4 and 5
We've applied a series of patches for issues affecting small groups of customers. We've directly notified affected customers about the changes.
Minor release 2
Date available: 7 March 2022
This minor release applies a fix so that the Total Delivered value on a service agreement item or service agreement no longer fluctuates unexpectedly.
Minor release 1
Date available: 23 February 2022
The following fixes and improvements have been applied for this minor release:
- Home and Community Care (HACC) program extracts can now support service delivered records from unrestricted support categories
- the claim status of all extract items for rolled up service delivered records will be updated according to the myplace portal results file, provided their claim reference number appears in the results file
- when creating monthly recurring sessions, each recurrence will be created on the correct day instead of being pushed back 24 hours
- newly created service agreement items will now always generate and link to a recurrence record for funding schedule delivery
- undefined null component errors will no longer display when adding a planned service to an existing session, and
- errors relating to an inability to read state properties will no longer display when completing group sessions.
