Sessions Calendar |
Overview |
For this release, we’ve continued to expand the capability of the Sessions Calendar to help users find their way around and improve the way the interface manages information on session records. Key improvements include the ability to:
If your environment uses a customised client record page, you may need a system administrator to update this page for users to see the updated Sessions Calendar on client contact records. |
Session details at a glance |
Clicking on a session appointment in the Sessions Calendar will now display details about the session in a panel to the right of the calendar. This means you can view information about each session without leaving the Sessions Calendar view. The panel includes several expandable sections to enable easy access to information about:
The panel also includes alert and case note icons that will help provide critical information to workers and enable them to add their case notes against the session. Workers will be able to view a summary of alerts for all clients in a session without leaving the Sessions Calendar. Workers will only be able to see their own case notes. To click through to the session record, users will need to click on the session subject text link at the top of the panel. |
Find your way around |
We’ve updated several parts of the Sessions Calendar interface to help you find your way around. For example, you can now jump to a specific date by clicking in the Go to date field and making a selection from the popup calendar. In the Resources column, the worker’s role can now be displayed below their name. To add roles to your workers’ contact records, you’ll need a system administrator to add this field to the worker contact record page layout. You'll then be able to add your workers' roles to their contact record. We’ve also revised the colour coding of the session statuses and added a legend to the bottom of the calendar to explain what it all means. Each colour combination has been selected to meet WCAG requirements. |
Save your filter settings |
This exciting new feature means that users can now save their filter settings and save time. If you’re frequently using the filter panel to zero in on specific session appointments, this handy option means you’ll now be able to use the same setting each time you log into the system. There are three new buttons at the bottom of the filter panel. You can use them to:
|
Filter using more options |
We’ve also enhanced the filtering with several new options, including the worker role and multi-select drop-down lists. The Display Options section gives users even more control over how they see their Sessions Calendar, with new settings for worker region and site, and for grouping workers. Find out how to use the filters and display options. |
Select a client’s home location |
Users can now select the client’s home as a location from the Location drop-down list when adding a new session using the New Session form on the Sessions Calendar. This address will be included on the panel of information that now appears when a user clicks on a session appointment on the Sessions Calendar. |
Add ad hoc services |
Ad hoc services can now be included for delivery when adding a new session to the Sessions Calendar. This feature uses a similar approach to scheduling planned services, with the new option appearing below the Add Planned Service button on the New Session form. This improvement means that providers can now deliver ad hoc services from the same session appointments as planned services. For example, a physiotherapy session could include the purchase of a foam roller. While ad hoc services can be set up to appear on recurring sessions, this functionality is currently limited to the initial setup. Changes to ad hoc services on recurring sessions need to be made on each individual session. To access this feature, a system administrator will need to enable ad hoc services in sessions from Lumary Settings. |
Session records and recurrences |
Overview |
We’ve made several improvements to session records and recurrences to support changes to the Sessions Calendar and improve the user experience of scheduling and maintaining session appointments. This includes: |
View service delivered (SD) records from a session record |
We’ve added a new Invoicing and Payments tab to the session record. This tab includes a list of the SD records related to the session and includes information like:
Users can now also link back to a session record from the Sessions field on the SD record. |
Scheduling and managing recurring session appointments |
We’ve improved support for scheduling and managing recurring session appointments from the session record. This includes an update of the calendar that appears under the Recurrence tab to include the new features and functionality of the Sessions Calendar. We’ve also improved the checking and visibility of worker leave and availability conflicts when scheduling recurrences. |
Linking session and service delivered (SD) records |
We’ve provided an optional field that providers can add to the SD record page layout that will:
The placement instructions for this field have been added to the article that explains how to enable optional features by adding fields to page layouts. |
Home Care Packages (HCP) funding |
Overview |
Work in Lumary 17 to support Home Care Packages (HCP) funding has mainly focused on additional features to support Improved Payment Arrangements (IPA) for home care. We’ve also made improvements to enable providers to: Providers can now also:
|
Improved Payment Arrangements |
We’ve added several additional features to support Improved Payment Arrangements for home care. This includes:
This will help providers align their balances to the amount held in the client’s Home Care Account. We’ve also added a client monthly statement option to extracts. The statement shows unspent home care amounts and includes the following fields:
|
Fixed costs calculated and charged fortnightly |
We’ve made a slight change to the way that fixed costs are calculated and charged. Based on customer feedback, we’ve adjusted the calculation of costs like care management and package management services to calculate and charge at fortnightly intervals. This aligns with the practices of most home care providers. |
Add NAPS Service IDs |
Providers can now record their NAPS Service ID on site records. This helps providers manage finances and report by service ID or aged care planning region. |
Additional improvements and fixes |
Overview |
This release also includes improvements to: |
NDIS notional unit prices |
The NDIS Pricing Arrangement and Price Limits 2021-22 introduced notional unit prices as a new way of calculating claims for some service items. This affects claiming for things like:
As anticipated, we’ve been able to leverage the capabilities of Salesforce to perform the calculation on relevant rates in the background. This means that you can plan and schedule these services using existing processes and the system will make the necessary adjustments when it generates the extract file for claiming. Basically, there’s nothing new to do! The system does all the tricky calculations for you. Find out more about NDIS notional unit prices. If you would benefit from seeing this price on rate records, your system administrator can add the NDIS Notional Unit Price field to the Rate Layout. |
NDIS travel from appointments |
To more accurately represent the NDIA's current interpretation, we've changed the label for capturing return travel to Travelling from an Appointment. We've also reworded the help text for clarity. |
NDIS extracts |
Plan managers can now set up their environment so that their ABN will automatically appear in NDIS extracts for plan managed services. To access this functionality, a system administrator will need to add the ABN field to the following page layouts on the account object:
|
easyemployer integration |
We’ve resolved an ongoing issue where some providers with easyemployer integrations were experiencing a Shift does not exist (enrtcr) error in their integration logs when updating shifts. We’ve made changes to the way the system handles shift updates to resolve this issue. |
Localities data to support LGA reporting |
This release includes updated localities files to support improved accuracy for local government area (LGA) reporting. Find out how to load the updated localities data into your environment. |
