This article explains how to show when a worker is available or unavailable for appointments.
To help schedule a worker for client appointments, you can use availabilities to show when a worker is available and/or unavailable. This feature is available in environments that use Sessions.
To set an availability period for a worker:
- Go to the worker's record.
- Click on the Roster tab.
- Scroll down to the Availabilities section.
- Click on the New button.
- This will open a New Availability form. Use the Date and Time fields to set the start and end dates and times.
- Click on the Availability Type drop-down list to select whether the worker will be available or unavailable during this period.
- You can use the Description field to provide more information. This will display on the session block on the worker's calendar for an unavailability or if the block stretches over a long period of time.
- Click on the Save button to add the availability to the worker record or the Save & New button to add the availability and set another one.
Worker availability vs unavailability
Setting a worker as available or unavailable will result in different behaviours when scheduling future appointments in the Sessions Calendar. Setting a worker as:
- available will provide a visual cue on the Sessions Calendar to show that the worker is available during this time, while
- unavailable will either display a warning or prevent sessions that overlap the unavailable period from being scheduled for that worker, depending on how your system has been set up to control attempts to make appointments when a worker is unavailable.
The period you selected will now appear on the worker's calendar and the Sessions Calendar.
