- the Lumary mobile app, and
- the ELDAC dashboard.
We've also added improvements and fixes for:
Following the release of Lumary 14, there were several minor releases to fix minor or urgent issues. These are summarised under minor releases.
Sessions
Overview
Based on feedback, we’ve made several improvements to the user experience in Sessions. We’ve given interfaces and navigation an overhaul to improve efficiency and reduce the risk of errors. One of the biggest changes is the introduction of a wizard for new sessions. Other improvements include navigation refinements, the ability to modify past sessions and minor fixes.
We've also improved the process for adding appointments to the calendar on the client's contact record. Find out how to create an appointment for an individual client with the new client Calendar.
New Session wizard
The New Session wizard replaces the popup form previously used for scheduling on the Sessions Calendar. Unlike the form, the wizard is integrated into the calendar view, allowing rosterers to schedule sessions while still being able to view appointments on the calendar. This change is based on requests from several customers to help improve the user experience.
While integrating the wizard, we’ve made several additional enhancements. To help users to avoid missing key steps in the process, we’ve:
- revised the sequence so that mandatory fields appear earlier
- made it possible to add services while creating a session, and
- included an option for users to roster a session with a single click at the end of the process.
Additional logic has been built into the wizard to prevent overclaiming.

Due to space limitations, the wizard will continue to appear as a popup when viewed on the client contact record or the worker contact record.
Navigation improvements
This release also introduces the Worker View option, which will be the default view for rosterers. As well as displaying sessions on the daily, weekly or monthly grids, users can now view the Sessions Calendar by worker.
A toggle allows the user to show or hide workers who currently have no scheduled appointments.
Other navigation improvements include:
- the addition of the New Session button on both the Sessions Calendar and the calendar that appears on the client’s contact record. This provides an alternative to clicking into the calendar to create a new session, and
- the inclusion of the client’s date of birth and NDIS or Aged Care number when typing their name into the Client search field in the new session wizard or on a session record. This helps users to distinguish between clients with the same name.
Modify past sessions
A setting has been added to enable users to create, edit and delete sessions in the past. However, to avoid potential issues this feature is not currently available in environments with external rostering integrations, such as Skedulo or easyemployer.
Find out how to enable sessions in the past.
Sessions fixes
Additional fixes have been applied to resolve issues that have been raised so that:
- changes to a site or client address are now reflected on all session recurrences
- the Save button now displays as expected when a user is warned about missing mandatory fields, such as Required Workers
- loading times are faster when filtering sessions
- service line items can only be assigned to the correct service agreement when adding the item via a session
- days set to 24 business hours display with the same colour coding as other business hour periods
- users are able to delete sessions and their services when the session is owned by another user with the same profile level, and
- rescheduling a series of a high number of recurrences no longer hits the CPU limit.
Transfer SD
Overview
We’ve upgraded the transfer feature for service delivered (SD) records. To improve the efficiency and flexibility of the transfer process:
- the Transfer SD functionality can now be extended to a broader range of users via a permission set
- users can now transfer records after they've been extracted
- a column on the transfer form now shows the extract status of each record. If the column shows an extract item (EXI) number, the record has been included in an extract
- a service agreement's status can be set to Expired when transferring the service delivered (SD) records to a new agreement, and
- SD records can be transferred from a restricted category to a service agreement with the same category set to unrestricted.
To access Transfer SD, a system administrator will need to enable service deliveries transfer in Lumary Settings.
Extend Transfer SD to other users
Previously, only system administrators could access the Transfer SD feature. This can now be extended to users with other profiles via the Allow SD Transfers permission set.
Find out how to set up a user to access Transfer SD.
Allow the transfer of extracted SD records
Extracted SD records can now also be transferred. To access this additional functionality, a system administrator will need to deactivate the Prevent Delivered Record Modification setting.

Lumary mobile app
Overview
To support Lumary mobile app users, we’ve made changes to improve:
Based on user feedback, we’ve also focused on fixing and resolving issues to improve stability, flexibility and efficiency.
Salesforce mobile app integration
Salesforce mobile app integration was previously supported by a floating navigation bar that provided additional navigation shortcuts, such as adding a case note or cancelling a session. Due to multiple issues, this element has been removed to improve the stability of the integration. Case notes and alerts will be available as options under the client’s contact record, while sessions can be cancelled from the Lumary mobile app.
Users can access the Lumary mobile app launcher from within the Salesforce mobile app by clicking on the Lumary icon at the bottom of the screen.
Travel and transport
We’ve improved the accuracy and stability of claiming travel and transport within a single session. This logic is applied when tracking the transport of an individual or group of clients.
Accessibility
We’ve improved accessibility for colourblind users. The red and green background colours on the travel and appointments buttons have been changed to align to WCAG accessibility standards.
Mobile fixes
The team has put a lot of work into improving the Lumary mobile app’s stability and compatibility with iOs and Android across a range of handsets. Additional fixes have been applied so that:
- when no geolocation is provided, a clear message displays indicating that the destination is missing and the user is able to continue using the app
- Android users previously prevented from using call and SMS can now access these features
- cancelling an appointment and providing a cancellation reason will set the session status to Cancelled
- iOS map security is improved
- Android users no longer get stuck on the welcome screen
- starting multiple sessions within a shift will no longer overwrite the actual start time of the shift
- when appointments go longer than scheduled, the additional time is displayed in red text on the countdown timer, rather than as a negative value
- fields showing travel hours and minutes display as 0 rather than NaN when their value is null
- when End Shift & Appointment is used to complete a shift and a session from the mobile app, the times added to the session, worker appointment and shift actual end time align
- case notes created from the mobile app are visible on the relevant session record, and
- side navigation is available for users not using Salesforce mobile app integration.
Issues no longer cause the app to crash when:
- ending a shift without starting or ending an appointment, or
- Android users attempt to modify the end time of a shift after clicking on the End Shift button.
ELDAC dashboard
This release introduces the End of Life Directions for Aged Care (ELDAC) dashboard. The ELDAC Digital Dashboard combines several dashboards and reports to present End of Life Directions for Aged Care (ELDAC) information for providers applying the ELDAC model.

Additional improvements and fixes
Overview
This release also includes improvements to:
- travel and transport service delivered (SD) record synchronisation
- Skedulo mobile app travel and transport tracking, and
- Xero extracts.
Travel and transport SD record synchronisation
We've improved the behaviour of child travel and transport SD records in relation to their parent SD record. This affects the type of records where a service is delivered and separate travel and/or transport records are generated.
Changes made in the parent record are now consistently reflected in the child records. This includes deletion. Users should be aware that deleting the parent record will remove the associated travel and/or transport records.
Skedulo mobile app travel and transport tracking
We’ve improved the accuracy and stability of claiming travel and transport for the same job when using the Skedulo mobile app. This information is entered in the Log Billable Travel field under the job.
Xero extracts
Xero extracts have been updated to include service type and claim type descriptions for invoices. This helps participants and their nominees to identify charges for different types of claims against the same service, such as travel, transport and cancellations.
Users can also choose to send separate invoices for each client or participant of a plan manager or nominee. By default, the system groups all of a plan manager or nominee's clients onto a single invoice. By enabling Generate separate client invoices in Lumary Settings, separate invoices can be generated for each client or participant. This setting is only available for environments with Xero integration.
Minor releases
Overview
Following the release of Lumary 14, there were several minor releases to address minor or urgent issues. These were applied to affected environments as they became available. The releases are listed in reverse date order, from most recent to earliest:
The known issues links provide more information where necessary.
Additional fixes
Following minor release 3 and the EE update in August, additional fixes were applied so that:
- service delivered (SD) records from service agreements with multiple funding management sources are given a Claim Status that allows them to be included in NDIS extracts
- service delivered (SD) records where the service item's funding management value is different than the funding management value on the service agreement are included in extracts
- the funding settings Funding Management, Funding Manager and Participant Nominee cannot be changed on a service agreement where service delivered (SD) records have been created. To change these types of funding information, users will need to create a new service agreement.
- a misleading error message no longer appears when a client is removed from a bed allocation
- using Gmail integration to automatically create a task record with the Lumary Setting that automatically creates a case note record from a task does not cause the case note to fail when the email's subject is longer than 80 characters (known issue)
- the contents of the Invoice Grouping field continue to display after a service agreement's status has been changed from Draft
- the Planned Services section only displays on the Bed Allocation form when service agreement items are available within the required date range
- a new primary contact can be selected for a client when a previous primary contact's status has been set to Former, and
- advanced users can create DVA episodes without the Lumary - LAC permission set.
EE Fix - August 2020
Version: 14.0.26
Date available: 21 August 2020
A change associated with Salesforce's Summer 20 release caused an issue with the creation of the EasyEmployerHandler class. A fix has been applied to all production environments with easyemployer integrations. (known issue)
Minor release 3 - August 2020
Version: 14.0.25
Date available: 19 August 2020
Fixes were applied in minor release 3 so that:
- users are able to change the frequency of future sessions in a series that includes sessions with a status of Complete or Cancelled (known issue)
- the Beds Calendar no longer displays an empty duplicate version of the calendar (known issue)
- users will no longer be able to create recurrences from In Progress sessions that cause the recurring sessions to also be set to In Progress (known issue)
- changing the client attached to a booking on the Beds Calendar cannot cause the new client's services to be delivered against the original client's service agreement (known issue)
- extracts to Xero will show the same rate as the service and the service delivered (SD) records (known issue)
- service delivered (SD) records cannot be generated from a Bed Allocation for service agreements with a status of Expired (known issue), and
- when jobs are sent to Skedulo, the first job is included in overclaim checking (known issues).
Minor release 2 - July 2020
Version: 14.0.18
Date available: 5 August 2020
Fixes were applied in minor release 2 so that:
- changing the funding management setting in a service agreement will be reflected in service agreement items (SAIs)
- once funding management selection at line item level is enabled and used in a service agreement, the setting can no longer be disabled. This is to avoid issues with active service agreements.
- non-NDIS services where Allow Travel is disabled no longer allow a travel service delivered (SD) record to be created. To make non-NDIS services available for other claim types, system administrators can enable claiming for travel and/or cancellation on the service record.
- only NDIS-defined reasons will be available when selecting a cancellation reason for an NDIS service
- advanced users can delete appointments from sessions
- users can delete or modify multiple sessions in a series that has been created by another user at the same permission level
- a permission error no longer prevents a Skedulo job from creating service delivered (SD) records
- for clients with an easyemployer integration, clicking on the Complete button to complete a session does not cause an error
- service delivered (SD) records can be created for DVA episodes when palliative care is a required service, and
- Service Summary Details fields will no longer be recalculated to incorrect values when a DVA episode is updated.
Minor release 1 - June 2020
Version: 14.0.7
Date available: 6 July 2020
This minor release included changes to support the release of the NDIS Pricing Guide and Support Catalogue. You can find out more about NDIS pricing changes on the NDIS pricing status page.
Fixes were applied so that:
- unlinking errors for NDIS extracts only removes extract items that have a status of Error
- the pencil icon appears for service delivered records on expired service agreements
- the error that appears when a user attempts to edit a session from the list view is clearer
- service delivered records cannot be saved until all required fields have been completed
- Beds Calendar dates display in DD/MM format
- the Add Service Delivered form that launches from the Service Delivery Entry screen displays the client's date of birth and NDIS or Aged Care number in the Client Name field to help distinguish between customers with the same name
- session appointments can no longer be started if the session has been set to Complete, and
- items extracted using Financial Package Extract display the correct claim reference number.
