This article explains how to add, view and edit tasks within Lumary CM.
You can use Lumary to create tasks that function as to-dos and reminders. You can set a due date on a task so you know when it has to be completed by.
If tasks that you create are related to a contact, you'll see them in a contact's Activity feed. You can view all your tasks from the home page (when you first log in) or from the Tasks tab.
There are several ways to create and edit tasks. This article will cover:
- creating a task in a contact record
- editing a task from a contact record, and
- editing a task from the Tasks tab.
Create a task
To create a task:
- Open the record for the client that you wish to record a task for.
- Click on the Activity tab.
- Click on the New Task tab. If you can't see the tab, click on More and select the option from the list.
You can also create tasks from the Tasks tab. However, if you do it from a client's contact record then the Name field will auto-populate with the client's name.
- In the Subject field, either type a subject or select an option from the drop-down list.
- Click in the Due Date field and select a date from the calendar.
- If required, add a name to the Name field.
- In the Related To field, you can add a related record such as an account or service agreement. The default option is Accounts, so if you need to select another record type click on the down arrow and select a type from the list. Depending on the option chosen, you can then select from a list, search, or use the + to add a new record.
- The Assigned To field will have your name added by default. To assign the task to somebody else, click on your name and use the Del or Backspace keys to clear the field. Then, do a search for the name of the assignee.
- Click in the Status field and select a status from the drop-down list.
- Click in the Priority field and select a priority from the drop-down list.
- Click Save.
- You can view the task in the Upcoming and Overdue section of the Activity panel.
Editing a task from a contact record
To edit a task from a contact record:
- Open the record for the client that you wish to record a task for.
- Click on the Activity tab.
- Find the task that you need to edit and click on the arrow next to the title.
- Select the kind of edit that you need to make from the list.
If you need to make multiple updates, select Edit as the option.
- Updated as required and then click the Save button.
- To mark a task as complete, tick the checkbox. The task will be crossed out and, once the page refreshes, moved to the Past Activities area.
Editing a task from the Tasks tab
To edit a task from the Tasks tab:
- Click on the Tasks tab. If you can't see the Tasks tab, go to the app launcher and type 'tasks'. Then, select Tasks from the list.
- By default, you'll see the Recently Viewed list view. If you can't see your task, you may need to change the list view.
- Click on the name of the task you need to edit.
- Choose an editing option by clicking on one of the buttons or clicking on the down arrow to see the full list of choices.
- Update the task as required and then click the Save button.
- To mark a task as complete, select it and then click the Mark Complete button. The status will change to Complete.
You can reopen a task by clicking the Complete button again and selecting a status from the list. You can also create a service delivered record from a task.
