This article explains how to edit planned services on an individual client session that has already been created, including sessions in a recurring series.
Once a session has been created, you can make changes to the planned service, as long as the session hasn't been completed or cancelled. This includes editing or changing the planned service, deleting a planned service, and adding planned services.
First, choose a calendar to work from:
- for the client's calendar, go to the Contacts tab, locate the client and open their client record. Click on the Engagement tab, then Calendar tab and find the session.
- for the Sessions Calendar, go to the Sessions Calendar tab and find the session. You can use the calendar filters to help locate it.
To find the planned service on the session:
- In the calendar, click on the session. This opens a panel on the right with the session details.
- Click on the text link of the session subject to open the session.
- Click on the Clients tab.
- Under Clients Attending, click on the drop-down arrow at the end of the client's row.
- Click on Select.
A section opens below with details of the client's planned service(s) for this session. If no planned services have been added, the section will open but no services will be listed.
Follow the instructions in the sections below to:
- edit or change a planned service
- delete a planned service, or
- add a planned service.
Edit or change a planned service
To edit the details of a planned service or change it to another service:
- Next to the text link of the planned service name, click on the drop-down arrow.
- Click on Edit.
- In the Edit Planned Service form, make the required changes. You'll be prompted to select new values if the previously selected service agreement or line item is no longer valid for the session date. If you change the service, check the rest of the fields and update as applicable for that service. For detailed information about completing each field, see this article.
- Click on the Save button.
If this is a single session, the system shows a confirmation message and updates the service.
If the session is part of a recurring series, you'll be prompted to select which sessions you want to apply the changes to. Continue the steps below.
- Click on the drop-down menu and select the relevant option:
- This Session Only: applies changes only to the session you're editing.
- This And All Following Sessions: applies changes to the session you're editing and all sessions scheduled to occur after that.
- All Sessions in Series: applies changes to all sessions in the series that are not yet completed or cancelled, including sessions scheduled to occur before and after the one you're editing.
- Click on the Save button.
Delete a planned service
To delete a planned service:
- Next to the text link of the planned service name, click on the drop-down arrow.
- Click on Delete.
If this is a single session, the system shows a confirmation message and removes the service.
If the session is part of a recurring series, you'll be prompted to select which sessions you want to delete the service from. Continue the steps below.
- Click on the drop-down menu and select the relevant option:
- This Session Only: deletes the service from only to the session you're editing.
- This And All Following Sessions: deletes the service from the session you're editing and all sessions scheduled to occur after that.
- All Sessions in Series: deletes the service from all sessions in the series that are not yet completed or cancelled, including sessions scheduled to occur before and after the one you're editing.
- Click on the Save button.
Add a planned service
To add a planned service:
- In the top right corner of the Planned Services (Client Name) section, click on the Add Planned Service button.
- In the Support Category field, select the relevant option from the dropdown menu.
- Complete the fields in the Add Planned Service to Session form. For detailed information about completing each field, see this article.
- Click on the Save button.
If this is a single session, the system shows a confirmation message and adds the service.
If the session is part of a recurring series, you'll be prompted to select which sessions you want to add the service to. Continue the steps below.
- Click on the drop-down menu and select the relevant option:
- This Session Only: adds the service only to the session you're editing.
- This And All Following Sessions: adds the service to the session you're editing and all sessions scheduled to occur after that.
- All Sessions in Series: adds the service to all sessions in the series that are not yet completed or cancelled, including sessions scheduled to occur before and after the one you're editing.
- Click on the Save button.
