This article explains how to create a custom list view.
If you're dealing with large amounts of data, for example, a long list of client contacts, you can customise the way that you view that data. There are out-of-the-box list views that you can use, but you can also create your own list views. This can help you to better prioritise and manage what you're working on.
This article will help you to:
- create a view, and
- select which fields to display.
Create a custom view
To create a custom list view:
- In the Navigation bar select the tab where you want to add your new list, for example Contacts.
- Click the cog icon.
- Select the New link.
- In the List Name field, type the name you want to use. You don't need to complete the List API Name field as this will auto-populate.
- Under Who sees this list view? select an option by clicking the radio button.
You may not be able to select an option to share your list view with other users. If this is the case and you need to share the view, talk to your system administrator.
- Click the Save button.
- In the Filters section, click on the Add Filter link.
- Under Field, click the drop-down arrow and select the field that will identify the records you want to include in the list.
- Click the drop-down arrow in the Operator field and select an option.
- In the Value field, select a value by clicking on the drop down arrow and selecting from a list. If no options are available you can also type a value (number or text) into the field.
- Click Done.
- Repeat the steps to add more filters if needed. Otherwise, click the Save button.
Add fields
Once you've created the new view, you can specify which fields will be displayed in the view. To select the fields:
- Make sure that you are in your new list view. Otherwise, click on the down arrow and select your list view from the options.
- Click the cog icon.
- Click the Select Fields to Display link.
- Select fields from the Available Fields column and use the right arrow to add them to the Visible fields column. You can also use the left arrow to remove a field.
- Use the up and down arrows to change the order of the fields.
- Click the Save button.
- Your list will now display with the fields you've selected.
Once you've created a list view you can also clone and edit it.
