This article explains how to change an existing client's home care package (HCP) level and create a new service agreement.
When a client's home care package (HCP) level changes, you can use their existing service agreement to quickly generate records with copies of their existing goals and services.
To change an existing client's HCP level:
- change the client's package level on their contact record
- clone the service agreement and upgrade the package on the new agreement, and then
- record the client's acceptance.
Change the package level on the client's contact record
To change a client's HCP level on their contact record:
- Navigate to the client's contact record.
- Click on the Edit button.
- Click on the HCP Level drop-down list.
- Select the client's new HCP level.
- Click on the Save button.
Updating the HCP Level on the client's contact record will not affect existing service agreements.
Clone and upgrade the service agreement
To clone the service agreement and upgrade the new agreement to the new package level:
- Click on the Contracts tab.
- Scroll down to the Individidual Service Agreements section.
- Click on the service agreement name of the client's current HCP service agreement.
- Click on the Clone Agreement button at the top of the service agreement record.
- Click in the Cloned Start Date field and set a start date for the new agreement. It's important to add a date at this step, as this will also help you identify the client's new goal achievement plan.
- Click on the Clone button.
- After you've cloned an agreement, you'll still be in the original service agreement record. To navigate to the new service agreement, click on the text link of the client's name.
- Click on the Contracts tab.
- Scroll down to the Individual Service Agreements.
- Click on the service agreement name of the client's new draft HCP service agreement.
- To set the new HCP level, click on the Change Package Level button at the top of the service agreement record. You may need to click on the More drop-down arrow to find the Change Package Level button.
- Click on the New Package Level drop-down list.
- Select the client's new package level.
- Click on the Change button.
- Cloning the agreement will have created a new budget funding source (FS) record for the new agreement. Changing the package level automatically updates subsidies, supplements and fees in the new budget. You should now make any other changes required on the new budget by navigating to it from the 30 Day Estimate button on this agreement.
- A new goal achievement plan will also be created. You can find this under the Plans tab on the client's contact record. The new plan will be the one with the date you entered when you cloned the service agreement.
Record the client's acceptance
To record the client's acceptance and set the new agreement to current:
- Navigate to the new service agreement.
- Click on the Generate Quote button.
- Once the client accepts, click on the Accept Quote button.
- This will set your new service agreement to Current. Once you reach the start date of the new agreement, the original service agreement will be set to Expired.
- The original goal achievement plan will now have an end date and the new goal achievement plan will have the same start date as the new service agreement.
