This article provides an introduction to the defining and recording of restrictive practices for NDIS reporting. It also includes links to articles that explain how to activate and use this feature.
This functionality requires at least Lumary 16.
Some providers are required to report the use of regulated restrictive practices to the NDIS Commission. Additional information can be added to client contact records for inclusion on a report that will help providers meet this requirement.
The system captures restrictive practices that are:
- routine, meaning they are used on an ongoing basis, or
- pro re nata (PRN), meaning that they are used as needed.
To include the relevant information on the report, providers will need to:
- give users the appropriate level of access
- define routine restrictive practices and record any exceptions or variations to the routine, and
- define and record the usage of PRN restrictive practices.
Once restrictive practices have been defined and recorded:
- a restrictive practice report can be generated
- specific restrictive practice records can be linked to incidents, and
- an audit log will keep track of any changes made to any of the restrictive practice record types.
Give users access
Access to restrictive practice functionality will depend on the user's level of responsibility:
- Workers required to plan for and approve the use of restrictive practices will need the Lumary - Restrictive Practice Definition permission set, while
- Workers required to record the usage of pro re nata (PRN) restrictive practices and exceptions to routine restrictive practices will need the Lumary - Restrictive Practice Usage permission set.
Users required to define restrictive practice and record usage and exceptions will need both permission sets.
A system administrator will need to assign the relevant permission set to a user's account to give them access.
Routine restrictive practices
Routine restrictive practices can be defined on a client's contact record as part of a:
- personal behaviour support plan record, or
- restrictive practices plan record.

Once a routine restrictive practice is defined, workers can record exceptions and variations to the routine.
PRN restrictive practices
PRN restrictive practices can be defined on a client's contact record as part of a:
- personal behaviour support plan record, or
- restrictive practices plan record.

Once a PRN restrictive practice is defined, workers can record usage of the practice.
Generate a monthly report
Users can be given access to the Restrictive Practice Report in the Lumary Restrictive Practice Reports folder that will enable them to generate and filter reports on all restrictive practices, and usage and exception records.
A system administrator may need to give users access to this reports folder to allow them to view these reports.
Due to the size of the report, it is made up of several joined reports. It is therefore unable to be viewed on the Lumary or Salesforce mobile apps.

Incident management
If the use of a restrictive practice has not been authorised or is related to reportable incident, the restrictive practice (RP) record can be linked to the incident management record.
For both routine and PRN restrictive practices, this can be done from the Incidents and Restrictive Practices list under the Related tab.
Audit logs
To help meet NDIS quality compliance requirements, the system generates an audit record of changes for each restrictive practice, usage or exception record. These records can be viewed by users with the Lumary - Restrictive Practice Definition permission set.
