Introduction to accounts and contacts – Lumary

This article provides an overview and introduction to accounts and contacts and explains how they are related.

Accounts and contacts are types of Salesforce records. They are used to store information about the people, groups, organisations and businesses that interact with your clients and organisation.

It's helpful to understand the different types of accounts and contacts, as this can affect the way you use them in the system. Scroll down or click on the links to find out more about:

Accounts

Accounts store information about the businesses and groups that interact with your organisation. In Lumary, this includes agencies, clinics and education settings.

Household accounts are used to store information about clients and the people involved in their care, such as family members and healthcare providers. They are automatically created whenever a new client record is made.

As well as other information, accounts contain contact records. If an account is deleted, all of the contact records stored in the account will also be deleted.

The following table includes more information about how the different types of accounts are used and when they are typically created.

Household	Contains a client, participant or patient, and contacts related to their care, such as parents, caretakers and medical practitioners Automatically created when an enquiry is converted into an intake client or client, or when a new client record is created Related contacts, such as parents or medical providers, are added manually as required
Agency/Other	Agencies or other providers that supply services to your business, for example, other health providers, NGOs and fund management companies Created manually as required
Clinic	Medical clinics, hospitals or surgeries Created manually as required
Education Setting	Day centres, schools, universities or other educational institutions attended by clients Created manually as required

Contacts

A contact is a type of Salesforce record that stores information about individuals that interact with your business and clients. In Lumary, this includes your clients and workers, but can also include other people involved in client care, such as healthcare providers and family members.

The following table includes more information about how the different types of contact records are used and when they are typically created.

Type	Use
Client	Stores information about a client, participant or patient Created from the Contacts tab or when converting an enquiry to a client When a new client record is created, a new household account will also be automatically created
General	Individuals that have a relationship with a client, such as caretakers, next of kin, school representatives and volunteers Other external contacts that have a relationship with the client Created during the process for creating a client record or manually as required
Intake	Clients that are being on-boarded and/or assessed but are not yet full clients Created from the Contacts tab or converted from an enquiry
Participant	Clients who meet NDIS access requirements and work with Local Area Coordinators for plan management and service access (usually only available in environments that use Lumary LAC - all other NDIS participants should be added as client records) Created from the Contacts tab
Provider	Medical practitioners, for example, doctors and specialists External agency contacts, such as NDIA planners and provider contacts Created manually as required
Worker	Someone who works for your organisation or an external service provider who delivers services to clients Created manually as required

How accounts relate to contacts

Contacts are listed within their relevant accounts. For example, a household account lists the client's record and all the different types of contact records that relate to their care. This could include records that contain information about their parents and/or care providers.

When an account is deleted, all the contact records listed within the account will also be deleted.
