This article explains how to view and manage files from a client or worker's record.
The Related Files tab on client and worker records provides a simple, easy to use view of:
- all of the files linked to a client or worker record through related files, and
- any files that have been uploaded directly to the client or worker record.

View all client related files
To view all files related to a client and their related records:
- Go to a client's record.
- Click on the Related Files tab. You may need to click on the More drop-down list to find this option.
The Client Related Files feed looks at the last 50 active records from each related section of the client’s profile and shows their related files.
View all worker related files
To view all files related to a worker and their related records:
- Go to a worker's record.
- Click on the Related Files Tab. You may need to click on the More drop-down list to find this option.
The Worker Related Files feed looks at the last 50 active records from each related section of the worker’s profile and shows their related files.
Related Files feed
The Related Files feeds are limited to displaying the latest 200 files. The following table provides a summary of the options available for each file.
Option | Description |
---|---|
File Preview | Click on the thumbnail image of the file to launch a preview in a popup window. |
Category | The type of contact related record that the file is stored on. For example, case notes, personal support plans or enquiries. |
File Type | The type of file uploaded, for example, TEXT, PNG, PDF and DOC. |
Title | The name of the file. |
Added By | The name of the user with a text link to the user's profile, and the date and time the file was uploaded. |
View Related Record | Click on the text link to go to the related record that the file was uploaded to. |
Filter files
The filter at the top of the Related Files feed gives you the option to filter the feed to only show records from one category of contact related records.
To filter files:
- Click on the Filter button.
- Select the category of record you would like to filter to. For example, if you select Risks, the Related Files feed will only display files uploaded against the client's risk records.
- Select All to show all files, including those without categories.
Switch between tile and list views
The buttons at the top of the Related Files feeds give you the option to switch between a tile view and a list view.
- Click on the Tile List icon to view files in columns of tiles, as shown in the following image.
- Click on the List icon to view files in rows, as shown in the following image.
Add files directly to the client or worker's record
To support categorisation and reporting, we recommend that users go to the appropriate related record, for example, consent or personal support plan, and upload files.
However, files that can be stored with no category and limited search-ability can be added directly to a client or worker's record.
To add a file directly to a client or worker record:
- Click on the Add Files button.

- Click on the Upload Files button and select the file from your computer or network, or
- Drag the file from your desktop and drop it onto the Or drop files area.
